How to Brief Suppliers for Easier Procurement Quote Comparisons
Comparative prices are uncomparable. It is often not due to the Supplier alone, but due to the Requirement in which each person interpretes the same. The preparation of the demand from the beginning clearly reduces the backdrop and reduces scope movements.
1. Telling the purpose before telling the product name.
The same product may have very different Specifications. If the Supplier knows that it is used as a VIP Gift, Employee Item, Event Giveaway or Operational Supply, it will offer an option that is more appropriate.
2. Identify Specification as Must-have
Material Size Color Function Standard, Comparative or Dispute Model should be separated from what is “adjustable” so that Supplier offers Alternative without missing the main Requirement.
3. Number and order form
Identify Quantity, SKU number, number per color/size and if the task is continuous, tell forecast or pattern, to evaluate MOQ and the stock direction is more appropriate.
4. Budget Range Saves Time
If there is a target budget, the opening of the approximate framework reduces the excessive supply cycle and opens the way to provide the Supplier with more appropriate materials or processes.
5. Sample and Approval Process
Identify whether you need Mock-up, Physical Sample, Color Sample or Approval from which parties. Because this step affects the timeline before real production.
6. QC and the Audit
It should be specified key items such as Material, Color, Dimension, Artwork, Logo Position, Packaging, Quantity and Delivery Documents. To allow the Seller to assess costs and checking the process from the beginning.
7. Delivery Requirement
Send to one or more branches? Do you need to send or send a single time? Do you need to stick Label or set before delivery? These details make the price of Logistics and Fulfillment different.
Good Requirement Summary
Objective + Specification + Quantity + Budget + Sample + QC + Timeline + Delivery It is a key data set that allows Supplier to offer options on the same basis and helps the buyer assess costs, capacity and risk more clearly.
