From HA to JCI: Plan a Readiness Roadmap Without Starting Over
Hospitals with HA system no longer need to start from the center when setting JCI targets. Because both frameworks are focused on developing quality and security of service. What should be done is to use the system that the organization is on the basis. Then analyze which Gap needs to increase concentration, adapt how to track or expand the viewpoint to more conform to the international context.
Start from Mapping the original system Not writing new documents.
First, we should collect the real systems that the hospital uses, such as Governance, Patient Safety, Medication Management, Infection Control, Facility, Workforce, Quality Improvement and Information Management. Then see how well these processes meet the objectives. Write new policies immediately without ununderstanding the original system can lead to a repeated documentation and adding the burden to the team.
Make Gap Assessment at Process Level
Policy, Practice, Evidence and Result should be reviewed because some issues have a complete documentation, practices are unconform. While some agencies have already good work, there is no tracking system or evidence that connects to the corporate level.
Order from Risk and Impact
It should not be tried to solve all the gap together. It should be chosen topics that affect Patient Safety, Critical Process, Facility Risk, Technology or Governance first. To make the resources used to topics that affect the most on availability and results.
Use Tracer to view the cross-system of the agency.
Tracer assessment allows you to see how information and care pass through multiple entities, such as from receiving patients, diagnosing, treatment, drug delivery and distribution. This method often reveals a gap that individual document examination is unseen.
Upgrade Management Review
Good JCI readiness requires that managers see the continuous image of Risk, Performance and Improvement. Dashboard and Management Review should answer the question what is major risk, how it is trending and what action is doing to reduce real risk?
Create Continuous Readiness instead of Campaign Before Survey
The long-term goal should be to make the system ready all the time. Through Internal Audit, Tracer, Incident Review, Data Review and Follow-up Action, which is generated in a regular cycle. When the system works real, the preparation of the Survey will be just a review of the ready-made. Not a new system acceleration.
What should be the active roadmap?
- Gap identified as Process Not just document items
- Priority according to Risk and Impact
- Owner of each Action
- Milestone and Timeline
- Results indicators
- Circle Management Review and Internal Tracer
ICORP can help hospitals put a roadmap from the existing HA system to JCI Readiness through Gap Assessment, Management Workshop, Tracer and Improvement Roadmap by focusing on what the organization has already done well as a basis and adding specifically the real necessary parts.
Note: HA and JCI are a standard per person. This article offers administrative guidelines to the quality system overhead. It is not a certification that one standard overhead will automatically pass another standard.
