Hospital Facility Dashboards: KPIs for Building Risk Management

Facility Management often contains a lot of information, including PM Repair Schedule, Utility Incident, Parts, Subsidy and Upgrades. But if this information is not summarized in the form that the manager sees the risk, it is difficult to decide the budget and order the importance properly.

Dashboard should not be just the number of work done.

Reporting that this month the Work Order closed, a number of items were useful but not enough. The administrator should see which systems have repeated defects, which tasks are due to lack of defects or spare parts and which events affect Clinical Service.

1. Preventive Maintenance Completion

Critical Equipment or Critical System should be separated from the general work. To show whether the reports that affect security and continuity are monitored in time. It should not be given a high total percentage of critical work, as well as a low-level critical work.

2. Utility Downtime

The number of times, duration and effects of Utility Failure, such as electricity, HVAC or other key systems should be tracked. It is necessary to identify whether any incident affects the Clinical Area and has a recurring cause.

3. Corrective Work Orders & Response Time

Work Order data allows you to see both the load and the area with repeated problems. If the original agency reports the original type of problem frequently, it should be upgraded from repair to root cause review or capital improvement.

4. Fire & Life Safety Open Issues

The emergency system issues, the fire barrier and temporary control between the renovation should have a status that the administrator can track. Specifically, the lists with high risk or long-term opening.

5. Critical Infrastructure Risk

Facility Team should have a Risk Register that says any device or system is near-exhaust. There is a Single Point of Failure or there is not enough backup. To allow the manager to plan investments before an emergency event.

6. Renovation & Construction Risk

The hospital-in-house construction projects should be imported to the Dashboard when it affects Infection Control, Fire Safety, Access, Noise, Dust or Utility Interruption so that the project risk is considered to be co-operated with the normal Operation work.

7. Recurring Failures & Cost Trends

Equipment that repeatedly fails may cost more over time than replacement. Reviewing cost trends alongside downtime and criticality supports reasoned repair-versus-replace decisions.

Dashboard should lead to decision making.

A good indicator should raise questions and action, such as to adjust PM or not. To add backup parts. To invest in Replacement when or where there is the area to do Improvement Project. If the Dashboard has a lot of information but does not change the decision, then it should be reviewed whether it is measured what is really important.

ICORP can help the design facility review, PM framework, risk register and management reporting organizations to link healthcare quality and accreditation readiness according to the scope of each project.
